Workflow Terminology
GroupBox | Listing of work instances (documents) for the group that a user may take ownership of. The administrator decides which fields are displayed for a document in the GroupBox. |
Inbox | Listing of work instances (documents) a user has ownership of for review. The administrator decides which fields are displayed for a document in the inbox. |
Kickoff Criteria | Test of one or more data values associated with a document. If the test is true, the document is accepted for processing by workflow. |
Ownership | Ownership is a granted right that allows a user to interact with a work instance. |
Queue | Has configurable field permissions and holds events, conditions, and actions |
Rule | A condition and action to perform if the condition is true. The condition involved workflow and/or document data. |
Task | In earlier version of workflow, this term was used as a synonym for a document. In this version, task is closer to a work instance. |
Work Instance | A work instance is work item being processed by queue. |
Work Item | A work item is a document from the Document Management System, and it can be associated to one or more work instances at the same time. In other words, a document may be reviewed in more than one way at a time. |
Workflow Path | A workflow path is a set of queues that routes documents from one reviewer to another based on document data and reviewer decisions. |
The Inboxand GroupBox are show as items under the Workflows tab on the left menu. Also, each Workflow name defined is shown on the left menu. Like Inbox and GroupBox, clicking on a name will display the documents in that workflow that the user is entitled to see
