ECMToolbox - Importing and Exporting Workflows

Before importing a workflow definition, ensure that:

  • The destination Workflow is connected to the same Document Management system, and
    the application/project has the same exact field names and data types.

  • No users are actively working in the destination workflow.

Disclaimer

  • Workflow User and Queue permissions are not included in the definitions file, you will
    have to assign rights after the import process.

  • Existing data in the destination workflow will be marked as deleted.

  • Existing Work items and work instances do not carry over in the definitions file.

Exporting a Workflow

  • Login to ECMToolbox Workflow.

  • Under the Administration Category, click “Workflow Designer”.

  • Look for the Workflow to export, and click “More…”, then “Export”. (See the illustration
    to the left).

  • The browser will download a definitions file to your system.

Importing a Workflow

  • Login to ECMToolbox Workflow.

  • Under the Administration Category, click “Workflow Designer”.

  • Look for the Workflow to export, and click “More…”, then “Import”.

  • The browser will prompt for the file to import.

  • Select the file you downloaded and click “OK”.

  • ECMToolbox will validate the file and will provide a message indicating if it was successful
    or not.

  • If the import fails, ECMToolbox will point out the problem with the definitions file and or
    fields.
