ECMToolbox Document Level Security

Document Level Security (DLS) provides filtering of documents to be shown or hidden to a group of users. This is useful for providing certain departments viewing rights to specific document based on field data. A field could be a document type, or a representative code that reflects a few users, or a department. Document Level Security supports multiple rules.

  • If one entry contains an allow rule, any document that does not match the allow rule is hidden.

  • If one entry contains a restrict rule, any document that matches the DLS criteria will be hidden, other documents will still be visible.

Adding a DLS Entry for a Group

  1. Click on the Group to modify.

  2. Click the “Document Level Security” tab

  3. In the fields, provide a workflow, field, value to look for, and the security type to apply to the field.

  4. Click Add DSL.

Removing a DLS Entry for User

  1. Click on the group to modify.

  2. Click the “Document Level Security” tab.

  3. Locate the DSL entry to delete.

  4. Click Delete button next to the entry to delete.
