Exporting Easyfile Records

Starting with Easyfile version 4.5.36, there is an export feature that decrypts documents and copies them to a designated location. It also creates a csv file listing the indexing information for each document. Only users who have Easyfile export rights to the cabinet can perform the export.

 This is a 2-step process.

The first step is to configure the Export inside the Scanpoint Service.

The second step is to identify and mark the documents to be exported.

Exporting does not delete any documents from Easyfile. It simply makes a copy of the documents and indexing data.

Configuring the Scanpoint Service

Open the Scanpoint Service Interface and turn off the service. If this stops production events from happening, this should be done after hours.

Click Settings and choose the Service tab. Click the Export checkbox and then click OK.

The Export tab can now be configured.

Under Sources, click Add.

Enter the URL path to the Scanpoint Web Service. This is in the format of https://sitename.caso.com/spws/scanpointwebservice.asmx

Enter the profile key. Click Test Connection to verify the information.

Lastly, enter a location to save the export.

Click Save when finished. Lastly, select a timer for the service to check for exports. 0 = constant

Selecting the documents to be exported.

Open Easyfile and select the cabinet. Perform a search for the documents you wish to export.

Click the Select All button. Then click the ellipses (…) and click Export Metadata and Documents.

 

Give the export a name.

Choose Selected or All. In most cases Selected is a preferred choice. Choosing All will select all records in the cabinet, even the deleted records.

Check the Versioning History radio button if you want all versions of a particular document to be exported. Leaving the button unchecked exports only the current active version.

Under Output Filename and Location, click the Based On Index Data radio button and enter an Output Folder and Filename. The Output Name helps differentiate between various exports.

When finished, click the Standard radio button. Click Export when ready.
