ECMToolbox System Permissions and Document Security Levels (DSL)

System Permissions

ECM Toolbox Workflow provides basic permissions on a user level. Refer to the table below for access
rights.

System Administrator

  • Impersonate Users

  • Configure System Settings

  • Assign/unassign other user rights

Workflow Designer

  • Create, modify, and delete workflows

  • Create, modify, and delete links

User Manager*

  • Create, modify, and delete user accounts

  • Assign user rights

  • User managers cannot make others, or themselves, a system administrator.

Account Status

Each account can be marked as enabled or disabled on the User Management page to prevent logging in
of the account, as well as the account being usable and selectable in routing rules.

Document Security Levels (DSL)

Each user can have a document security level applied based on workflow, field, and criteria. Then you can
allow or deny access to view that security level to the user.
Document Level Security supports multiple rules.

 

• If one entry contains an allow rule, any document that does not match the allow rule will be
hidden.

• If one entry contains a restrict rule, any document that matches the DSL criteria will be hidden,
other documents will still be visible.

• One entry contains an allow rule, and another entry contains an allow rule for another value of
the same field, or another field, the documents that match both rules will show, regardless of the
first rule was to block out the rest of the documents.

 

A number will show next to the user in the “DSL” column, counting the total number of document security
level entries entered against the user.

Adding a DSL Entry for User

  1. Click the user on the list to open the editor for the user.

  2. To the right of the window, specify a workflow, field, value to look for, and the security type to
    apply to the field.

  3. Click Add DSL.

Removing a DSL Entry for User

  1. Click the user on the list to open the editor.

  2. To the right of the window, locate the DSL entry to delete.

  3. Click Delete button next to the entry to delete.
