Editing Office Documents
Excel XLSX and Word DOCX files saved to Easyfile can be Checked Out and opened in their native programs for editing the actual contents of the document unlike PDF documents which open in the browser for annotation editing only.
If you only wish to view an Office document, just click the View button on the Search Results row or the View button on the Records Details screen. The document will open in the browser with the controls we have looked at in previous sections except that the Edit and Signature controls will not be there.
For a single document, click the down arrow on the Action button and choose Check Out.
For a multi-document record, open the Record Details screen and click Check Out on the document row.
After checking out a document, you will see that two new buttons have appeared. The Undo Checked Out button cancels the operation and removes the lock on the document so others may edit it.
The Check In button brings the edited document back into Easyfile as a new version. This is the method you would use for older Office documents which can’t be checked out, but have been downloaded and edited. We will discuss this in a later article entitled Editing all other Documents.
For our purposes here, we will check the finished edited document back into Easyfile via the Office Plug-In
After clicking the Check Out button, the document will be downloaded to the Downloads folder of the local machine. Open the document inside the appropriate Office application.
Click Enable Editing in the Office application and proceed to edit the document. Click Save when finished.
Now that the document has been saved, we need to check the document back into Easyfile. This is accomplished with the Office Plug In.
On the Home and Scanpoint ribbon is the Check In tab. Clicking this button will resave the document into Easyfile and unlock the document for future editing.
Enter the user name and password and an optional comment. Click Remember Me for future edits. Click Check In and the document is resaved.
As discussed in the Editing PDF documents video, when a document is edited and saved, a Version History is created which allows Rollbacks to any other version.
