User Interface

Easyfile Web is the interface that allows users to view/edit documents saved to the Easyfile Document Management System. In addition, you can also

  • Save new records to Easyfile

  • Add documents to existing records

  • Edit existing documents

  • Delete documents and records

Cabinet listings appear on both the left side of the screen and the upper right in a drop down box. The 3 blue lines are a toggle to show/hide the cabinet listing on the left. Hiding the listing will give the user more screen real estate to view search results.

The auto collapse check box forces the search fields to collapse when search results are returned. This will save the user time in scrolling down past the fields to see the results. If you need to search again, just click the green Advanced Search bar.

The Advanced Search checkbox by the bottom screen Search button opens the Advanced Search screen which offers a more robust search environment allowing for multiple options for the same field and date ranges.

 

 

Choosing a cabinet on the left or from the drop down list on the upper right, will show the appropriate fields associated with the cabinet chosen.

As with any search engine, the less search criteria, the more information is returned.

After entering some criteria or none, the search results listing is shown.

 

On the far right of the screen is a check box, which, when checked, will display the View All Selected and Delete All Selected buttons.

 

 

The next button to the right is the document button. An orange color indicates 1 document has been saved to the corresponding indexing data. A green button indicates multiple documents have been saved under the indexing information.


To the right of the document button is the Preview button. This allows the user to preview the document.

As you can see, the preview screen overlaps the search result listing. An alternate way to preview documents is in split view mode. If you look at the top right of the search results listing, you will see the Split View button. Clicking this pushes the search result listing to the left and frees the right portion of the screen for previewing documents.

Previewing a multi-document screen in split screen view is easy to use.

When the preview button for a multi-document record is chosen, the first document appears in the preview window. At the top left of the preview screen is a drop down listing all the documents for that record. Click the down arrow and choose another document to preview.

 

To return to full Search screen mode, click the right arrow next to the top Search button.

Next to the Preview button is the Edit button which allows a user to edit the indexing information and add new documents to the record. We will look at this in the Editing PDF Documents article.

The Action button contains a series of commands collected in one place. These commands are also available in other parts of the interface.

 

The search columns are adjustable to help the user navigate the search results. You can

  • Change the length of any column

  • Rearrange column order

  • Reorder the results. The default results order is descending order of input. By clicking any column title will re-sort in ascending order based on the column chosen. Click the column title once more and the sort order changes to descending.

  • Hide Columns - On the right side of the results screen is the Columns button. This allows for the removal of any column from the results screen. Click the button and uncheck any column you do not want visible in the results. When the user clicks Save, the search results will be replaced by the Search Field listing and the search will have to be initiated once more. When the results are shown, the column(s) removed will be hidden.

 

Lastly, under the green Advanced Search bar on the left is the Copy to Excel and Copy to CSV buttons which will take a snapshot of the search results, save the information to either Excel or CSV format and download the file to the user’s local machine for offline viewing.
